Terms of Use

Last updated: 24 September 2026

Welcome to HomeVault. By creating an account or using this service, you agree to these Terms of Use. They're written in plain English — no legal jargon, no surprises. This is a practical summary, not formal legal advice.

Who operates HomeVault

HomeVault is operated by HOMEVAULT HOLDINGS LIMITED, a company registered in New Zealand (New Zealand Company Number 9442204; NZBN 9429053791856), with a registered office at c/o French & Associates Limited, Level 4, Forsyth Barr House, The Octagon, Dunedin 9016, New Zealand.

These Terms are a contract between you and that company. We refer to it as "HomeVault", "we", "us" and "our" in these Terms.

What HomeVault does

HomeVault helps homeowners, landlords and property investors store, organise and manage property records — including documents, receipts, invoices, warranties, manuals, certificates, photographs, maintenance history, insurance records, renovations and contacts. HomeVault may use automated systems and third-party AI services to help read, classify, extract and summarise information from your uploads (see "How we use AI" below).

Eligibility and your account

To use HomeVault you must be at least 16 years old and able to form a legally binding contract. If you use HomeVault for a business or on behalf of someone else, you confirm you have the authority to do so.

You are responsible for keeping your login details secure and for everything that happens through your account. Tell us straight away if you think someone has accessed your account without permission. We may require email verification when you register.

Your responsibility for accuracy

You are responsible for the accuracy and completeness of the information you upload to HomeVault. Property Passport exports are generated directly from the records you provide. HomeVault does not independently verify the information you enter.

Not professional advice

HomeVault is a record-keeping tool — not a professional service. Nothing in HomeVault constitutes or should be relied on as:

  • Legal or conveyancing advice
  • Building, engineering, construction or structural advice
  • Insurance, financial or investment advice
  • Real estate or valuation advice
  • Safety, compliance or building-code advice

Always seek qualified professional advice for important decisions about your property. Reminders, expiry dates and AI-generated suggestions do not replace checking your original documents or taking professional advice.

How we use AI

HomeVault may use automated systems and third-party AI services to analyse content you upload — for example, to identify document types, dates, amounts, warranty information, suppliers, property details and timeline events, and to generate summaries or suggestions.

Automated extraction and AI-generated information may be incomplete, inaccurate or misclassified. Always verify important details against your original source documents before relying on them. HomeVault does not guarantee that reminders, expiry dates, compliance dates or AI-generated conclusions are correct.

Do not rely on HomeVault alone for emergencies, safety-critical maintenance, insurance deadlines, legal obligations or other professional decisions. Your original uploaded documents remain available to you and are not overwritten by AI-generated data. AI output is linked to your account and property only.

Property Passport limitations

Property Passports are generated from information you have entered into HomeVault. HomeVault does not guarantee that records are complete, legally sufficient, or that they will be accepted by councils, insurers, buyers, banks, solicitors, or other professionals.

A Property Passport is a summary of user-provided records, not a certified or verified document.

Your content belongs to you

Everything you upload — documents, photos, notes and property records — remains yours. HomeVault does not claim ownership of any content you upload.

By uploading content, you give HomeVault and its service providers a limited permission to store, process, transmit and analyse your content solely to provide and improve the service for you.

You must only upload content that you have the right to upload. Property documents may contain personal information about other people — you must have the authority to store and share that information before uploading it. Don't upload material that belongs to someone else without their permission.

Property sharing and authorised access

If you share a property or Property Passport with someone, you are responsible for granting access only to people who are entitled to see that information. HomeVault access is tied to the authenticated account; do not share your login details.

Property access and ownership roles

References in HomeVault to an "owner", "homeowner", "co-owner" or similar role describe a user's access permissions within HomeVault only.

These roles do not establish, verify or determine legal ownership, beneficial ownership, registered title, tenancy rights, relationship property rights, succession rights, or any other legal interest in a property.

You are responsible for ensuring that you are authorised to invite another person to access a Property Passport and for keeping access permissions accurate and up to date if ownership, occupancy, relationships or other circumstances change.

Where a Property Passport is shared with more than one person, each authorised user may have access to the same underlying Property Passport in accordance with the permissions available to them.

If there is a dispute about who should have access to a Property Passport, HomeVault may temporarily restrict or suspend access while the issue is reviewed and may require reasonable evidence before changing access permissions.

A change to access permissions within HomeVault does not itself change legal ownership of the property.

Acceptable use

You must not misuse HomeVault. You agree not to:

  • Upload harmful, illegal, abusive or misleading content
  • Attempt to access another user's account or data
  • Interfere with the security or operation of the platform
  • Use HomeVault for any unlawful purpose

See our Acceptable Use Policy for more detail.

Subscription plans, trials and billing

HomeVault offers paid subscription plans. The current plans, prices and billing currency are shown on our plans page. Prices are shown in New Zealand dollars (NZD) and are billed monthly.

Most plans include a 7-day free trial. A payment method is required to start a trial through Stripe. You will not be charged until the trial ends. After the trial, your subscription automatically renews each month until you cancel.

Payment is processed by our payment provider, Stripe. By starting a subscription you authorise Stripe to charge your chosen payment method for the plan and any applicable taxes until you cancel.

Cancellation and effect of cancellation

You can cancel at any time from your account settings or the Stripe customer portal. Cancellation takes effect at the end of your current paid billing period, and you keep access until then. After cancellation, your paid features are removed but your data is retained as described in "What happens to your content after cancellation" below.

Canceling a trial before it ends means you will not be charged.

Refunds

HomeVault does not normally offer refunds or credits for partial billing periods. If a charge is the result of an error on our part, contact us and we will put it right. Nothing in these Terms removes any consumer rights you have under New Zealand or Australian law that cannot lawfully be excluded.

Changes to plans and prices

We may change our plans or prices. We will give you reasonable notice before any price increase affects you. Changes take effect for you at the start of your next billing period after the notice. Price decreases take effect from the date announced.

Failed payments and suspension of paid access

If a payment fails, Stripe may retry the charge. If payment remains outstanding, your subscription may become past due and your paid access may be paused or removed until payment is resolved. We may email you about failed payments.

What happens to your content after cancellation

If you cancel or your subscription ends, your stored records remain in your account but paid features are removed. To permanently remove your content, use the data controls in account settings to request deletion. We may keep limited copies in backups for a reasonable period, and we may keep some information where required for billing, fraud prevention, security or legal obligations.

Data export and account deletion

You can request an export of your data and request permanent deletion of your account from account settings. These are processed as requests — we will action them within a reasonable time and in line with applicable privacy laws. We may need to verify your identity first.

Service availability, maintenance and changes

HomeVault may update, improve or change features over time. We'll do our best to communicate significant changes in advance. We may also occasionally need to take the service offline for maintenance. We do not guarantee the service will be uninterrupted or error-free.

Third-party services

HomeVault uses third-party services to operate, including Stripe for payment processing, cloud infrastructure and hosting providers, and AI providers that help analyse your uploads. These providers process your information under their own terms to provide the service. We are not responsible for the acts of third-party services outside our control.

Intellectual property

HomeVault, the HomeVault name, logo, designs and software are owned by us or our licensors. These Terms do not give you any right to use our branding or intellectual property except to use the service as intended.

Feedback

If you give us feedback or suggestions about HomeVault, we may use them without any obligation to you. You confirm any feedback is yours to give and does not breach someone else's rights.

Limitation of liability

HomeVault is provided as-is. We work hard to keep it reliable and secure, but to the fullest extent permitted by law, we are not liable for:

  • Loss of data due to circumstances outside our reasonable control
  • Decisions you make based on records, reminders or AI output stored in HomeVault
  • Any indirect or consequential loss arising from use of the service

Our total liability for any claim is limited to the amount you paid us in the 12 months before the claim (if anything).

Your rights are protected

Nothing in these Terms removes or reduces any rights you have under New Zealand or Australian consumer protection law (including the New Zealand Consumer Guarantees Act 1993 and the Australian Consumer Law) that cannot lawfully be excluded. Where a term conflicts with a non-excludable right, that right applies.

Governing law and disputes

These Terms are governed by the laws of New Zealand. We and you submit to the non-exclusive jurisdiction of the New Zealand courts. Because HomeVault is sold internationally, we will also comply with the mandatory consumer protection laws of the country where you live as a consumer, to the extent they apply.

If you have a complaint, please contact us first so we can try to resolve it. If we cannot resolve it, you may take it to the New Zealand Disputes Tribunal or your local consumer dispute body where applicable.

Changes to these Terms

We may update these Terms from time to time. We'll notify you of significant changes where required. Continued use of HomeVault after changes means you accept the updated Terms. Where a change is material, we may ask you to accept it again.
